Official transcripts are printed on security paper with the Registrar’s signature and display the entire academic history of a student at UC Santa Barbara. The charges for official transcripts ordered using GOLD are posted to your BARC account on the date printed.

Regular Mail Service:
A printed official transcript will be sent by regular mail service to the recipient and address as indicated in the order. Please allow 3-5 business days to process your request before it is mailed. Additional copies are sent to the same address.

Rush Mail Service:
Transcripts will be processed and mailed First Class within 1-2 business days after receiving the request and payment.

Next Day Pick-Up Service:
Orders must be received by 7:00 p.m. Pacific time in order to be processed for next day pick-up. Transcripts ordered for pick-up will be available after 1:00 p.m. the next business day. Transcripts not picked-up within 5 business days after they are printed will be destroyed.

Fax Service:
An official transcript will be faxed within 1-2 business days after receiving the request and payment. A hard copy will also be sent by mail to the same recipient of the fax, as indicated in the order. Be sure to include both a complete fax number and complete address where the transcript is to be mailed. Transcripts faxed by the UCSB Office of the Registrar are official, however it is up to the discretion of the receiving party or institution whether they will accept a faxed transcript and consider it official.

Federal Express Service: (Domestic Only)
Official transcripts are processed and sent by Federal Express within 1-2 business days after receiving the request and payment.  No P.O. Boxes or International deliveries. We do not accept pre-paid air bills. If international delivery by FedEx is required, orders must be placed online through our third-party vendor Credentials Solutions (additional fees will apply).

Attachments
You may include documents that are required from other institutions as an attachment to be sent along with your official transcript. We do not fill out forms and receiving institutions understand our policy.  It is not necessary to include a return envelope. Please indicate at the time of placing your request if we should hold your order for an attachment to be included with your official transcript or verification. Attachments may be submitted by mail, fax, or in person to the Office of the Registrar. We cannot accept an attachment by email. Please note that attachments are limited to a maximum of five pages.

Frequently Asked Questions (FAQ)

How long does it take for my order to be processed?
Regular Mail orders will be processed within 3 to 5 business days after your order is placed. Once it is processed and printed, it will be sent by regular mail.

Rush orders (Next Day Mail, Fax, FedEx, or Pick-Up) placed by 7:00pm will be processed the next business day after the order is received. Orders received after 7:00pm will be processed within the next 2 business days. Rush orders for pick-up will be available the next business day after it is processed after 1:00pm.

Can somebody else pick up my order for me?
Pick-up orders may only be retrieved by the student or another person whom the student has designated in the order, with a signature authorizing the release of their records to that person. The person picking up the order must show a picture I.D. at pick-up.

Orders not picked up within 5 business days after they are printed will be destroyed (shredded).

What if my order never arrives in the mail?
For domestic Regular Mail orders, we will attempt to resend your order no earlier than 15 business days and no later than 30 business days from the print date.

For international Regular Mail orders, we will resend no earlier than 15 business days and no later than 60 business days from the transcript print date.

Orders with Rush Services (Next day Mail, Pick-up, or FedEx) will be resent upon notification and verification of undelivered order (no earlier than 5 business days from print date for next day mail), and no later than 30 business days from print date for domestic and no later than 60 business days from print date for international mail.

For Fax Rush Service orders, 3 attempts are made to fax on the processing date. Upon an unsuccessful 3rd attempt, the student will be contacted to verify the fax number and informed that the fax may not have gone through successfully. One final attempt with corrections will be made after this point, as long as it is within 10 business days from the original processing date.

Only one resend can be accomplished per order, and it will be resent to the address on the original request. Any alterations in mailing address or fax number will require a new order - only recipient name and/or office name may be modified.

Resends will be sent as originally requested in the order. (e.g. via the same shipping method)
If your order has not been received within these time frames, please contact our office to have your order resent.

How do I order an official verification if I am no longer a current student?
If you are no longer a current student and cannot access GOLD, please contact our office for an order form by sending an email to RegTrans@sa.ucsb.edu or call our office during regular business hours at (805) 893-3135.

Can I send my order using my own pre-paid airbill? (i.e. UPS, DHL, or other expedited shipping method)?
We do not accept pre-paid air bills.  We only offer an expedited delivery option through FedEx, ordered through GOLD or our credit card vendor, Credentials Solutions.

Can I have my order sent to an address outside of the U.S.?
Yes, it will be sent by regular mail to an address outside of the U.S. If you are placing an order for a transcript to be sent outside of the U.S. you also have the option of sending it by FedEx if you place your order through Credentials Solutions online at https://www.credentials-inc.com/tplus/?ALUMTRO001320 and pay by credit card.

What do I do if I have a financial block on my BARC account?
Contact the BARC office by phone at (805) 893-3756, by email to barc.info@barc.ucsb.edu or visit their website at http://www.barc.ucsb.edu/ for more information.

What do I do if I have a form that needs to be sent along with my transcript or verification?
Attachments (insurance forms, school forms, etc.) may be submitted to include with an order for a transcript or verification by fax, walk-in, or mail only. NO attachments are accepted by e-mail.
Attachments are limited to 5 pages maximum.

Where do I send my authorization from Credentials Solutions?
Not all Credentials Solutions orders require an authorization form. You may be required to submit an authorization form if you have an attachment or your signature is required to process the order. If you have one, fax the authorization form to the number on the form.  Or, you mail or drop off the form at the Office of the Registrar. Mailing may cause some delays in the processing time of your order. 

Will my GPA be on my transcript?
If you attended UCSB after 1987, your complete student record should be available electronically, and will therefore include your GPA on your printed transcript.

Prior to 1987, UCSB transcripts appeared in an older format, which all schools still accept. These records can be converted to a newer format which will include the GPA, if it is required by the receiving party.  Contact our office prior to submitting your order, if you need this conversion.  Please allow at least four weeks for this conversion process

I need my transcript notarized. Do you offer that service?
The UCSB Office of the Registrar can provide a notarized California Jurat with an affiant statement to be attached to the sealed envelope containing the official transcript, certifying its contents. We require advance notice if a notarization is required by the recipient of an official transcript.
 
Please contact the Office of the Registrar prior to placing your order to obtain a paper order form that must be completed, signed, and returned to the office either by mail or in person only, along with the corresponding payment as a check made payable to “UC Regents”. It must be prominently written on the paper order form that you are requesting a notarization of your official transcript. We also strongly recommend requesting your transcript with a rush service through a delivery method such as pick-up or FedEx service to ensure the fastest processing to allow for the additional steps required to fulfill your request. Please be sure to allow for up to 10 business days total processing time from when your request is received.
 
Will there be a seal on the envelope containing my official transcript?
UCSB Official transcripts are printed on security paper containing the University’s official seal and the Registrar’s signature. Therefore, it is not necessary for the sealed envelope containing an official transcript to have any additional seal.
Some receiving institutions may require an additional seal on the envelope and in those particular cases, we may provide one upon request of the student placing the order for their transcript.
